Overview: Scheduling Best Practices

Audience: Front Office Support

                                                                  



Appointment slot increments:                                                

Psych: 15 Minute slots

Tx: 1 Hour slots

                                                                                                       

Types of appointment slots:

   
  Psych: Duration for NEW is 1 hour. Duration for EST is based on provider need - follow tickler.

                  ·         New Psych Tele ONLY - New Patients ONLY (unless within 24 hours, can schedule Est)

                  ·         New Psych Office/Tele ONLY - New Patients ONLY (unless within 24 hours, can schedule Est)

                  ·         Telehealth ONLY – New / Est Patients

                  ·         Office or Telehealth – New / Est Patients

                  ·         Est Telehealth ONLY – New / Est Patients (Unless within 24 hours, schedule new with provider approval)

                  ·         Est Office or Est Tele – New / Est Patients (Unless within 24 hours, schedule new with provider approval)

       

    Tx: Duration for NEW is 1 hour. Duration for EST is 1 Hour. (30 minutes only if approved by provider)

                  ·         New Therapy Tele ONLY - New Patients ONLY (unless within 24 hours, can schedule Est)

                  ·         New Therapy Office/Tele ONLY - New Patients ONLY (unless within 24 hours, can schedule Est)

                  ·         Telehealth ONLY – New / Est Patients

                  ·         Office or Telehealth – New / Est Patients

                  ·         Est Therapy Tele ONLY – New / Est Patients (Unless within 24 hours, schedule new with provider approval)

                  ·         Est Therapy Office/Tele – New / Est Patients (Unless within 24 hours, schedule new with provider approval)



TIPS TO SCHEDULE:

            1.     Schedule from Top to Bottom eliminating gaps between currently booked appointments.

            2.     Telehealth appointments should attempt to stay on Telehealth ONLY days.

            3.     Attempt to refrain from scheduling new appointments at the first and last hour of the day.

            4.     If there is opening in the same day to fill a requested appointment confirm with provider


*We understand that these tips may not work for all patients HOWEVER, we should be presenting these options FIRST to the patient and then attempt to accommodate various times/days*
