Creating a Refill Order
Overview: How to generate a refill order for provider approval and signature | Audience: Front Office |
Review: Front office is to support our prescriber staff by obtaining patient pharmacies and generating any refill requests submitted by the patient either via patient portal or phone. If a patient requests a refill for a medication that does NOT live in the patients active med list (including different dose or sig) or is for a medication that was not last prescribed by a geode provider a patient case will be submitted to the provider instead. Ensure there is an appointment scheduled before submitting and that the patient did not NSLC last appt .
Generating refill order:

Checking for refills:
In patient chart open the “Meds” tab to the left-hand side
Find the requested med needing refill and open the flowsheet using the ““ icon.
For controlled: If there is an “earliest fill date” listed to the right of the last “prescribed” med indicating a future date inform the patient a refill was sent to the pharmacy, and to reach out to the pharmacy to confirm it's ready for pick up
Non-Controlled:
Click the last “Filled” medication and find “Refills”. Confirm 0 refills were sent with the last order.
Checking last prescriber:
Locate the last prescribed med on the flow sheet and look for the provider’s name at the bottom of the prescribed med to ensure the patient's Geode provider ordered the medication last. (This may also reflect in the last “filled” med, by clicking and looking at “Prescriber"
In the patient chart select the hamburger menu to the top right > “create order group”
Select the prescribing provider
