Chart Export

Overview: Exporting documents/record out of the patient’s chart.

Audience: Front office support and prescribers

Review: Chart export is used to send documents from a patient’s chart to the patient externally or to an external third party. If sending the items to a third party, there MUST be a release of information on file for the third party prior to sending any PHI. You can export via Athena Fax or Encrypted PDF (Email).


Preliminary:

            ·         An ROI must be on file for any third party receiving the exported document(s).

            ·         The document(s) must live in the chart already or be uploaded prior to initiating the export.


Queuing up the Export:

            1.     In the patients quickview select “Clinicals” > “Chart Export”

            2.     Adjust the Date Range if needed.

            3.     Locate the items needing export in the left-hand column hitting the “+” icon to expand the individual documents associated with that classification, and the “-“ icon to minimize the classification.

a.     If exporting the entire class, click on the bolded word(s) of the classification and use the arrow to move the items to the export column.

b.    If only exporting certain items, pull the necessary document over to the export column by clicking that item and using the arrow to pull over to export column.

c.    DO NOT use “Formal Health Record.”


                  

            4.     Select “Export Chart Sections” to the top right corner.



Exporting: Select the “Method” of export from the drop down.

       

           Athena Fax Method:

      1.     Fill in the “Send To” with where/whom the record is going to > ensure that the “Fax number” populated is accurate otherwise update with accurate number.

      2.     In the actions bar select “Submit” > “Save.”


                  

Encrypted PDF Method:

      1.     Generate a password that fits the listed requirements > enter the “send to.”

      2.     Select “Submit” > “Save.” The record will be downloaded to your PC.

                  3.   Generate an encrypted email to the patient and upload the downloaded PDF to the email.


Ensure to list the password in a separate encrypted email so the patient can access the record
