No Show-Late Cancels Workflow | Practice Assistant

If a patient calls to cancel or reschedule within 48 hours of a scheduled visit OR no shows for an appointment, DO NOT CANCEL the appointment from the schedule.  

Instead, follow the below steps to allow providers to document and charge any applicable no show/late cancel fees.

  1. Find the appointment under Calendar > View Calendar.

  2. Select the slot on the calendar > Select Reschedule.


  3. A box with patient details and appointment details will populate to the left side of your screen. Scroll down to appointment details.

  4. Select "Create New Slot" under the time category.


  5. Change the Appointment Type dropdown to "No Show Late Cancel" and enter the originally scheduled time in the Time field.

  6. Select Review > Reason for Reschedule > Confirm updates

  7. This process allows the original slot to reopen while leaving the No Show/Late Cancel appointment on the schedule at the originally scheduled time.

  8. Proceed to check in the appointment for the provider to be able to enter charges as needed.
