Doxy.Me Guide


Logging into Doxy.me

1.      Access Doxy.me via the icon on your desktop, the hamburger button in Athena, or by going to https://geodehealth.doxy.me/sign-in using Chrome. If it's your first time logging in, select "SSO Sign-In".

 

2.      You may be prompted to enter your Geode email address in password if you’ve recently refreshed your browser/cleared your cookies. If prompted, enter your email and password.

3.      Once signed in, you will be brought to your Dashboard. From the upper right-hand corner of the Dashboard, click the teal “Enable Camera” button. Your browser will then prompt you to allow your camera and microphone. Click “Allow” on both pop-ups; if you don’t, patients will not be able to see or hear you

4.      Once your camera is enabled, you will be able to see a preview of yourself in the upper right-hand corner.

 

 


Start A Telehealth Visit

1.       Patients awaiting care are visible in the Patient Queue on the left side of the screen.

 

2.       Hover over a patient name and click Start Call to meet with a patient.



NOTE: If you need to pause the call at any time, the patient will return to the Patient Queue, where you would need to click on their name again to resume the visit.




Patients receive the Doxy.me link automatically in two ways:
  1. In their booking confirmation email at the time of scheduling their appointment
  2. 15 minutes before the visit, the Doxy.me link is sent via email AND text to the patient

Geode automatically sends the Doxy telehealth link to patients via email at the time of booking the appointment, and via email and text 15 minutes prior to the appointment start time. However, you can always resend the link to the patient manually, if needed, by following these steps.

 

1.      From your Doxy.me Dashboard, click the Invite Via dropdown in the middle of the page:

Note: for practice assistants who have access to multiple provider rooms, make sure the correct provider link is listed before selecting the Invite Via button.

 

2.      Select Text message to send the Doxy link via phone, and Email to send it via email.                         

3.      For Text Message option, enter the patient’s phone number in the Patient phone number field. For email, enter their email address.

 

4.      Click Send Message. At the time of the scheduled appointment, the patient will need to click the shared URL from their device, type in their own name, and join the waiting room.


  

Create a Floating Window with the Video (aka Picture in Picture Mode)

Doxy only supports Picture in Picture mode while using Chrome. Picture in Picture allows you to lock the patient's video to the front of their screen while you use another browser window or program (e.g. Athena to document the visit).


1.  To use Picture in Picture Mode, Click the Minimize icon:  in the lower right corner of the screen. The resulting window can be moved and resized, while remaining at the front of your desktop.

2. To return to normal view, hover over the floating video and Click the Back To Tab icon:   The floating video will return back into the Doxy tab.

Troubleshooting Audio/Video Issues

If you are having audio/video connection issues follow these two troubleshooting steps, in this order:

 

1)      Initiate a “Call Restart” within Doxy:

a.      To restart a call, first hover over the patient’s video with your mouse and click the Gear icon to open the call settings:


                

                                                       

b.      In the call settings, click the Restart Call button:


       

2)      Clear Your Browser Cache and Cookies

a.      Select your browser in this link for instructions:

b.      If asked for a time period for clearing the data, select “All Time”

 

Tip to improve quality: discourage multi-tasking. Audio and video quality can suffer if the patient decides to start using other apps/browser windows while on their phone during a call. Ensure patients are focused only on the call.
